Dear presenter,

We're pleased to have you with us for the event!

This document will help The University of British Columbia (here called UBC), the Robert H. N. Ho Family Foundation Program in Buddhism and Contemporary Society (here called BCS Program) and you to better understand and comply with our legal diligences regarding your image, voice and material usage rights authorization as well as the extent of their usage.

Each section will talk about a different aspect we must cover. We appreciate your time to go through it all.

This form is a legal document. UBC is authorized by section 26 of the British Columbia Freedom of Information and Protection of Privacy Act to collect the Images/Recordings and the information on this form based on your choices here.

By reading each field and authorizing each option, you:
- Are aware that UBC may use the Images/Recordings for purposes in connection with promoting UBC and its activities, which may include advertising, promotion and marketing.
- Grant to UBC a non-exclusive royalty free license to record, reproduce, transfer, transmit, and display the Images/Recordings according to your choices below.

Photos Consent

Profile Photo Consent(Required)

We use your photo along with your profile to build our event's landing page, as well as banners to promote the event and its activities.

We may crop, alter size or combine them with other images, text, and graphics to create the event material.

The material will be publicly shared through (but not limited to) our website, social media, partners (from UBC and external), email marketing, newsletters and other similar means.

I understand how UBC uses public recordings

Photos from the Event(Required)

Photos from the event (or screenshots for online events) are commonly taken to be used later as proof of the day and a way to capture the atmosphere in general.

Their usage is mainly for: our annual report for our donor, our UBC page media archive and posts on our Social Media (such as Instagram) to celebrate the event.

Recording Consent

Recording for Archive and Report Purposes(Required)

We often record all our events (online, in-person and hybrid) to help us with our annual reports and to keep them as proof of our events. The raw footage is NEVER shared with anyone outside the BCS Program, but we need you to authorize your image to be captured.

Recording for Public Purposes(Required)

After your event, the recording may be edited and shared post-event.
The edition deletes Q&A, non-official discussions and any other footage outside the strict context of the theme/event.

We have the video embedded on our webpage and we host them on the Asian Studies UBC YouTube Channel. An email marketing with the link to our page with the video is also shared with the audience registered for the day (even if they couldn't attend), to promote the content.

The date, context and other relevant information are always shared as well, preventing the audience to watch it without context.

Quotes from the public recording can be used to share our content online, always pointing to the whole video and making sure the right context is given to the audience.

Other Consents

PDF Presentation

Some presenters don't mind sharing their presentation with us and our audience. They are always shared as PDF (which means no notes or comments are shared), and it's up to you to share the same version as you presented or an edited document.

These materials are always shared with the post-event BCS website page (report or edited video) as downloadable documents.
